A webinar marketing agency plans, promotes, produces and follows up webinars so that a B2B company turns online sessions into qualified meetings and pipeline, not just a registration count. It is for marketing leaders, demand generation and field marketing managers at software, professional services, financial services, healthcare and association organizations, and it produces topics and speakers, registration pages, promotion across email, LinkedIn, partners and paid media, a produced live session, on-demand assets and reporting in the CRM. Progression Agency is based in New York City and works with clients across the United States and worldwide.

The short answerWebinar marketing services cover five jobs: choosing a topic and speakers buyers will give an hour to, a fast registration page, a dated promotion calendar across owned, partner and paid channels, a rehearsed and captioned live production, and follow-up that hands engaged accounts to sales. Results are measured in attendance, engagement, meetings and opportunities, not registrations alone. A first program usually takes five to six weeks from kickoff to the live date, and a monthly series settles into a repeatable rhythm by the third session.
Platform, FTC, FINRA, ACCME, CASL, GDPR and W3C details are described as published in October 2026 and can change. Prices are Progression’s published landing page price and published US price bands labeled as market figures; every program is quoted from a written scope.
What does a webinar marketing agency do?
It runs the whole program: strategy, speakers, registration, promotion, production, follow-up and reporting. Your team supplies the expertise and the sales follow-through; the webinar agency supplies the system around them.
- Topic and format selection tied to the accounts sales wants to reach
- Speaker recruiting, briefing and rehearsal, including customer and partner speakers
- Registration page, form, consent wording and confirmation flow
- Webinar promotion across email, LinkedIn, partner channels, communities and paid media
- Webinar production: run of show, platform setup, slides, captions, recording and moderation
- Live engagement: polls, Q&A, resource links and a clear next step
- Follow-up and lead scoring passed to the CRM and to sales within a day
- On-demand pages, clips, articles and other repurposed assets
- Reporting from registration to pipeline, program by program
Webinar marketing in one sentence
Webinar marketing is using live or recorded online sessions to teach a specific audience something useful, collect their consent to follow up, and move the engaged ones toward a sales conversation.
Where a webinar agency fits next to your team
In-house marketers usually own the message and the relationship with sales. The agency handles the production line that is hard to staff for an event that happens once a month: promotion operations, the live run, the data and the repurposing.
What stays with you
Subject matter, speaker choice approval, compliance review in regulated fields and the sales conversations that follow. Nobody outside the company can sell your product better than your own team.
Is a webinar a marketing channel, and why are webinars good for marketing?
Yes. A webinar is a content channel with a date attached, which makes it one of the few formats that earns an hour of a busy buyer’s attention and an explicit request to hear more.
For B2B companies, the value comes from three things at once: a list of named people from target accounts, a record of what each of them watched and asked, and a recording that keeps working after the live date. Broader B2B planning sits on our B2B marketing agency page and the demand side on our demand generation agency page.
| Role | What the webinar does | What to measure |
|---|---|---|
| Demand generation | Teaches a problem to accounts not yet in market | New target accounts registered and attending |
| Lead generation | Exchanges an hour of expertise for consent to follow up | Engaged registrants passed to sales |
| Sales acceleration | Answers late-stage questions for open opportunities | Opportunities with a contact who attended |
| Customer marketing | Shows existing customers features and practices | Adoption, renewals and expansion conversations |
| Brand and thought leadership | Puts your experts beside respected names | Partner reach, press and speaking invitations |
How effective are webinars for B2B?
They are effective when the topic matches what target buyers need now and the follow-up is fast and specific. They are wasted when the session is a disguised pitch or when attendee data sits in a platform export nobody opens.
Virtual event marketing compared with a single webinar
A multi-track virtual event is closer to a conference and is planned like one; our event marketing agency page covers conferences, trade shows and field events. A webinar is smaller, more frequent and easier to tie to pipeline.
Choosing topics and formats buyers will give an hour to
Start from the questions your sales team hears in first calls, then pick the format that answers them best. A strong topic names a problem, an audience and a result in plain words.
| Format | Best stage | What makes it work | Watch out for |
|---|---|---|---|
| Panel discussion | Early, problem aware | A moderator who keeps it to a debate, not monologues | Too many speakers for the time |
| Fireside chat | Early to mid | A well-known guest and pointed questions | Drifting into a promotional interview |
| Workshop or teardown | Mid, evaluating | Real examples worked through on screen | Too broad to be practical |
| Product demonstration | Late, shortlisting | Real data and a buyer’s use case | Feature tours without a story |
| Customer story | Mid to late | A customer explaining results in their own words | Claims the customer will not stand behind |
| Office hours | Customers and late stage | Open questions answered live | No one asking questions in the first minutes |
Topic tests before you commit
Would a target buyer forward the invitation to a colleague? Can the session be summarized in one useful sentence? Does it lead naturally to the thing you sell without being about it? Three yeses justify the work.
Series or one-off
A monthly series in the same slot builds a returning audience and lowers the cost of each session. A one-off suits a launch, a report or a partner moment.
Length and timing
Most B2B sessions run thirty to forty-five minutes plus questions. Pick a slot that suits the main time zones of the audience and offer the recording to everyone else.
Speakers, partners and co-marketing
The speaker is the main reason people register. Pair one of your experts with a guest the audience already respects, and choose partners who bring a list you could not reach alone.
Recruiting and briefing speakers
Give each speaker a one-page brief: the audience, the single takeaway, the run of show, the slide template and the rehearsal date. Ask for a short promotional video or post from each of them before launch.
Co-marketing with partners
Agree in writing who promotes to which list, who receives registrant data and on what consent wording. Each partner should be named on the registration form so attendees know who will contact them.
Disclosing paid speakers and sponsors
If a speaker is paid, gets something of value or works for a sponsor, say so. The FTC’s Endorsement Guides expect material connections to be disclosed clearly and conspicuously, close to the endorsement itself.
Registration pages that convert
Keep the page fast, the form short and the promise specific. A registration page should say who it is for, what they will leave with, who is speaking, and when, in the visitor’s own time zone.
| Element | Good practice | Why |
|---|---|---|
| Headline | The problem and the result, not the webinar title alone | Visitors decide in seconds |
| Speakers | Photos, roles and one line on why each matters | The speaker is the reason to register |
| Agenda | Three or four points the session covers | Sets expectations and filters the wrong audience |
| Form | Name, work email, company and one qualifying question | Each extra field costs registrations |
| Consent | Plain wording on who will follow up and how | Needed for CASL, GDPR and partner sharing |
| Time and calendar | Local time zone and an add-to-calendar link | People attend what is in their calendar |
| On-demand promise | The recording will be sent to every registrant | Captures those who cannot attend live |
Registration on the platform or on your own site
Platform pages are quick to set up; pages on your own site build search value, keep tracking in your analytics and match your brand. Progression builds a single landing page from $1,400, and our event website design page covers full event microsites.
LinkedIn registration without leaving the feed
LinkedIn Lead Gen Forms come pre-filled with profile data and can send leads to a marketing automation or CRM tool, which suits registration for audiences who rarely fill in forms on mobile.
Qualifying questions worth asking
One question that helps sales prioritize, such as the challenge the registrant is working on or their timeline. Use the answer in follow-up; otherwise do not ask it.
How far in advance to promote a webinar: a promotion calendar
Start promoting four to five weeks before a public B2B webinar and keep promoting until the session starts. Most registrations arrive in the final days, but the early weeks fill the target accounts sales cares about most.
| When | Promotion work | Production work |
|---|---|---|
| Five weeks out | Target accounts agreed, page and tracking live | Topic, speakers and run of show confirmed |
| Four weeks out | Launch announcement, partner kits sent, speaker posts | Slide outline and poll questions drafted |
| Three weeks out | Organic LinkedIn, communities, website banners | Speaker briefing call |
| Two weeks out | Paid promotion at full budget, sales personal invites | Slides final, captions arranged |
| One week out | Last-chance messages, partner reminders | Full rehearsal on the real platform |
| Day of | Short reminder posts, live link pinned | Producer, moderator and backstage checks |
| Week after | On-demand page, clips, sales handoff | Recording edited, chapters added |
When to start promoting a webinar for customers
Two to three weeks is usually enough for an existing customer audience, because they already know you and the topic is practical.
How long to promote a webinar series
Promote each session for about three weeks and the series itself all the time, with a standing page that lists upcoming dates and past recordings.
Email in the calendar
Invitations, reminders and follow-up are the backbone of most programs. The detail of writing and timing those messages sits in the event and webinar email section of our B2B email page, so it is not repeated here.
Webinars filling up but never turning into pipeline?Send your last three programs, the platform you use and what sales says about webinar leads. You get a free proposal with a written scope and a same-business-day reply.
Webinar promotion services by channel
Use the channels where your target accounts already pay attention, in roughly this order: your own lists and site, sales outreach, LinkedIn, partners, then paid media to fill gaps in the account list.
| Channel | Best for | How we use it |
|---|---|---|
| Your email list | Known contacts and customers | Segmented invitations; detail on our B2B email page |
| Sales and account teams | Named target accounts | Personal invites from the account owner, with a short template |
| Organic LinkedIn | Reach through speakers and staff | Speaker posts, short clips, a LinkedIn Event page |
| LinkedIn Event Ads | Targeting by job title and company | Promoting the LinkedIn Event to a defined audience |
| Partner channels | Audiences you could not reach alone | Co-branded kits, partner newsletters and posts |
| Paid search and paid social | Topic searches and lookalike audiences | Short campaigns aimed at the registration page |
| Website and content | Visitors already reading on the topic | Banners, related articles and an events page |
| Communities and associations | Practitioner audiences | Listings and posts where rules allow |
How to promote a webinar on LinkedIn
Create a LinkedIn Event, ask every speaker to share it with a personal note, post a short clip from rehearsal and, for paid reach, use LinkedIn Event Ads, which promote a LinkedIn Event to a defined audience and report registrations, views and clicks in Campaign Manager. Our LinkedIn ads agency page covers campaign setup.
How to promote a webinar on social media beyond LinkedIn
For B2B audiences, short speaker clips on YouTube and X work best when they show one surprising point from the session. Consumer networks rarely justify paid spend for a B2B webinar.
Webinar ads that do not waste budget
Point paid traffic at accounts on the target list, cap frequency, and judge campaigns by registrants from those accounts rather than by cost per registration alone. A cheap registration from the wrong company is not a bargain.
Ways to promote a free webinar without paid media
Personal invitations from sales, speaker and partner posts, a website banner, related articles, community listings and a mention in every customer touchpoint that month. These often outperform paid reach for niche B2B topics.
Webinar promotion ideas that work
A short pre-session survey whose results are revealed live, a checklist or template given only to attendees, a guest from a well-known customer, and a rehearsal clip that shows the speaker’s personality.
How to increase webinar attendance and registrations
Registrations rise with a sharper topic, better speakers and more personal invitations. Attendance rises with calendar holds, a reason to be there live and a session short enough to fit a working day.
| Lever | Effect on registrations | Effect on attendance |
|---|---|---|
| Specific, problem-led title | Higher, from the right audience | Higher, because the promise is clear |
| Well-known guest speaker | Higher through the guest’s network | Higher, people want to ask them questions |
| Personal invites from sales | Higher among target accounts | Higher, a person is expecting them |
| Calendar file at registration | Neutral | Higher, the session sits in their day |
| Live-only element such as Q&A or a survey reveal | Neutral | Higher, a reason not to wait for the recording |
| Shorter session | Slightly higher | Higher, easier to fit between meetings |
Text message reminders
Text reminders can help attendance, but in the United States they fall under the FCC’s telephone consumer protection rules. Under 47 CFR 64.1200, a reply such as stop, quit or unsubscribe revokes consent to covered texts, and revocations must be honored within ten business days. Ask for text consent separately on the form and keep the record.
Why a registration count alone misleads
A thousand registrants from the wrong companies produce less pipeline than eighty from target accounts. Report target-account registrations beside the total from the start.
Webinar production services: from run of show to recording
Webinar production is everything that makes the live hour run smoothly: the run of show, platform setup, speaker kit and rehearsal, slides, captions, moderation and a clean recording. Good production is invisible; poor production is all anyone remembers.
| Piece | What it covers | Who owns it |
|---|---|---|
| Run of show | Minute-by-minute script, transitions, poll and Q&A moments | Producer with the host |
| Platform setup | Registration, branding, roles, polls, handouts, integrations | Producer |
| Speaker kit | Microphone, camera, lighting and connection checks | Producer with each speaker |
| Rehearsal | A full run on the real platform a few days before | Everyone on the session |
| Slides | Template, readable type, few words per slide | Speakers with a designer |
| Captions | Live captions and a corrected transcript for the recording | Producer with a caption service |
| Moderation | Questions sorted, chat watched, time kept | Moderator |
| Recording | Clean cut, chapters, thumbnail and on-demand page | Editor |
The producer role
A producer runs the backstage: admits speakers, launches polls, watches audio levels and timing, and has a plan when a speaker’s connection drops. The host should never have to do this while presenting.
Captions and accessibility
WCAG 2.2 success criterion 1.2.4 Captions (Live) at Level AA asks for captions on live audio in synchronized media, and 1.2.2 Captions (Prerecorded) at Level A covers recordings. Many public sector and enterprise buyers expect both.
Studio, home or hybrid
Most B2B sessions work from speakers’ own offices with a good microphone and light. A studio day suits flagship sessions and launches; our video marketing agency page covers filmed production.
Webinar platforms: we work in your stack
We run programs on the platform you already pay for, or help choose one. Zoom Webinars, ON24, Goldcast, Demio, Livestorm and Microsoft Teams webinars all host B2B sessions; the right choice depends on your audience size, your CRM and how much interactivity you need.
As one example, Zoom describes Zoom Webinars as offering branded registration pages, a private backstage area for speakers, live polls and Q&A, engagement dashboards, CRM sync and on-demand video libraries. Check the current plan details for any platform before you commit, since features vary by tier.
| Question | Why it matters | What to check |
|---|---|---|
| Does it sync with our CRM and automation? | Attendee data must reach sales quickly | Native integration or a tested connector |
| Can registration live on our site? | Tracking and search value stay with you | Embeddable forms or an API |
| What engagement data does it record? | Scoring depends on it | Minutes watched, polls, questions, clicks |
| How does it handle captions? | Accessibility and buyer requirements | Live captions, transcript export |
| What do attendees need to install? | Every download loses people | Browser joining without an app |
| How are recordings hosted? | On-demand pages should rank | Export rights and embed options |
Webinar production company or the platform’s own services
Many platforms sell production help for their own tool. A separate webinar production company works across platforms, ties production to promotion and reporting, and keeps the program portable if you change tools.
Integrations with the CRM
Registrations, attendance, minutes watched and poll answers should land on the contact record automatically. Our marketing automation agency and CRM consultant pages cover the plumbing.
Running the live session: moderation, polls and Q&A
Plan engagement into the run of show rather than hoping for it. A poll in the first five minutes, questions taken throughout and one clear next step at the end turn viewers into participants and give sales something to follow up on.
The first five minutes
Start on time, say what attendees will leave with, and launch a short poll about their situation. The answers shape the session and feed lead scoring.
Handling questions
The moderator combines similar questions, puts the best ones to speakers and notes every question with the name of who asked it. Questions are the strongest buying signal a webinar produces.
The call to action
One next step only: book an assessment, request a demo, download the template or join the next session. Show it on a slide, in the chat and on the on-demand page.
Webinar lead generation: the webinar funnel from registration to pipeline
Webinar lead generation works when every stage has an owner and a number: reach, registration, attendance, engagement, meeting and opportunity. The webinar funnel only pays off if engaged attendees reach sales while the session is still fresh.
| Stage | Definition | Number to watch | Owner |
|---|---|---|---|
| Reach | Target contacts who saw an invitation | Target accounts reached | Marketing |
| Registration | Contacts who signed up with consent | Registrants from target accounts | Marketing |
| Attendance | Registrants who watched live or on demand | Attendance rate and minutes watched | Marketing |
| Engagement | Attendees who polled, asked or clicked | Engaged attendees | Marketing with sales |
| Meeting | Engaged contacts who agreed to talk | Meetings booked within two weeks | Sales |
| Opportunity | Meetings that became qualified pipeline | Pipeline and revenue influenced | Sales and finance |
Lead scoring from webinar behavior
Weight what signals intent: attending live over registering, staying to the end, asking a question, clicking the call to action, and belonging to a target account. Pass high scores to sales the same day.
A webinar sales funnel needs sales in the room
Invite account executives to attend, watch the chat and see who asks what. Follow-up that refers to the attendee’s own question is far more welcome than a generic sequence.
Lead generation webinars versus education webinars
A webinar designed for lead generation still has to teach something; the difference is a stronger qualifying question, a clearer next step and faster sales follow-up. Our lead generation agency page covers the wider program.
Launching a webinar series from scratch?Tell us who the audience is, the first topics you have in mind and your CRM. You get a free proposal with a dated promotion calendar and a same-business-day reply.
After the webinar: follow-up, nurture and the sales handoff
Follow-up decides whether the hour pays off. Segment attendees by what they did, give sales the context, and keep everyone else in a nurture track that matches the topic.
| Behavior | Next step | Who acts |
|---|---|---|
| Asked a question or clicked the call to action | A personal note answering their question, then a meeting offer | Account owner |
| Attended most of the session | Recording, the promised resource and an invitation to the next step | Marketing, then sales |
| Attended briefly | A short summary and the chapter they missed | Marketing |
| Registered but did not attend | The recording with a two-line summary | Marketing |
| Target account, no engagement | A relevant clip shared by the account owner | Sales |
Webinar marketing automation
Registration confirmations, reminders, recording delivery and scoring updates should run automatically from the platform and the CRM, so people spend their time on the conversations that matter.
Where the email detail lives
Writing, timing and testing those messages is covered in the event and webinar email section of our B2B email marketing page.
On-demand webinars, repurposing and search
The recording is the longest-lived part of the program. Publish it on a page of your own, mark it up so search engines understand it, and cut it into clips, articles and posts.
Google’s video structured data guide requires a name, thumbnail URL and upload date for VideoObject markup, supports Clip markup so you can define key moments yourself, and describes BroadcastEvent markup for a LIVE badge on livestreams.
An on-demand page that ranks
A title written as the problem the session solves, a short summary, chapter links, a corrected transcript, the speakers and the resource promised in the session. Gate only when the audience will accept it; open pages are easier for search and AI assistants to read.
Repurposing one webinar into a month of content
Three to five short clips, an article built from the best answer, a slide carousel, a podcast episode from the audio and a sales email with the most useful chapter. Our content marketing agency and podcast marketing agency pages cover those formats.
How B2B buyers ask AI assistants about webinar agencies
Buyers ask ChatGPT, Claude, Perplexity, Gemini, Copilot and Google AI Overviews questions such as which agency can run our webinar program end to end, or how far ahead should we promote a webinar. Assistants answer from pages that state scope, process and prices plainly.
For agency questions, assistants tend to cite service pages with clear scope, comparison tables, published price bands, directory profiles and reviews. For how-to questions, they cite guides and on-demand pages with transcripts. Google says there are no additional requirements for AI Overviews beyond being indexed and eligible for a snippet, and OpenAI recommends allowing OAI-SearchBot for sites that want to appear in ChatGPT search.
What to publish so your webinars get cited
On-demand pages with transcripts, short written summaries of the main answer, speaker bios with credentials and a series page that lists every session. Our AEO for B2B page covers answer engine work for business buyers.
What to publish so your agency choice is easy
If you are comparing agencies, look for the same things: scope in plain words, a dated process and prices or price bands. The ones that publish them are easier to evaluate, whether you ask a person or an assistant.
Consent, privacy and compliance for webinar programs
Registration and follow-up are commercial messages, so consent rules apply, and regulated sectors add content review. We build programs inside these rules; your counsel and compliance team have the final word.
| Rule | What it requires | Where it bites |
|---|---|---|
| CAN-SPAM (United States) | Accurate headers and subject lines, a postal address, an opt-out honored within 10 business days | Invitations and follow-up, including B2B email |
| CASL (Canada) | Express or implied consent, sender identification, an unsubscribe mechanism | Promotion to Canadian contacts |
| GDPR (European Union) | Consent the controller can demonstrate, withdrawable at any time | Registrants in the EU and partner data sharing |
| FINRA Rule 2210 | Principal approval of retail communications; scripts and slides for public appearances count as communications | Broker-dealer webinars |
| ACCME Standards | Separation between accredited continuing education and marketing | Accredited sessions for clinicians |
| FTC Endorsement Guides | Clear disclosure of material connections | Paid speakers, sponsors and partner endorsements |
Email rules in the United States and Canada
The FTC’s CAN-SPAM guide says the law makes no exception for business-to-business email and that opt-outs must be honored within 10 business days. Canada’s anti-spam law requires consent and an unsubscribe mechanism, and section 11(3) requires unsubscribes to take effect within 10 business days.
Consent in Europe and partner data sharing
Under the GDPR, a controller relying on consent must be able to demonstrate it, and Article 7 lets people withdraw consent at any time. Name every partner who will receive registrant data on the form itself.
Financial services webinars
FINRA Rule 2210 requires a principal to approve retail communications before use and treats scripts, slides and handouts used in seminars and other public appearances as communications. Build review time into the calendar; our financial advisor marketing page covers the wider rules.
Healthcare and continuing education
Accredited continuing education follows the ACCME Standards for Integrity and Independence, which call for a clear separation between accredited education and marketing and sales. Keep promotional webinars and accredited sessions distinct, and route product claims through medical and legal review.
No promises of attendance or pipeline
Nobody can guarantee how many people will attend or buy. A responsible webinar marketing company commits to the work, the calendar and the reporting, and explains what it would change after each session.
How do you measure webinar success?
Measure each stage of the funnel against your own previous programs, and judge the program by meetings and pipeline from target accounts. Registration counts are a means, not the result.
| Measure | How it is calculated | Decision it drives |
|---|---|---|
| Target-account registrations | Registrants from the agreed account list | Whether promotion reached the right people |
| Attendance rate | Live plus on-demand viewers divided by registrants | Whether reminders and timing work |
| Average minutes watched | Total viewing time divided by attendees | Whether the content held attention |
| Engaged attendees | Attendees who polled, asked or clicked | How many leads deserve sales time |
| Meetings booked | Meetings with attendees within two weeks | Whether follow-up and handoff work |
| Pipeline influenced | Opportunities with an attending contact | Whether to keep, change or stop the series |
Attribution without arguments
Agree before the first session which rule the CRM will use: first touch, last touch or influence. Report the same rule every time so programs can be compared fairly.
Reporting rhythm
A short report two days after each session, a fuller one at thirty days when meetings have happened, and a quarterly review of the series. Our marketing analytics agency page covers dashboards.
How much do webinar marketing services cost?
Webinar programs are priced as a monthly retainer for a series, a fixed price per program, or a production add-on for a single session. Progression quotes every program from a written scope, and its own single landing page price starts from $1,400.
| Item | Price | What it is |
|---|---|---|
| Registration landing page (Progression) | From $1,400 | Progression’s published single landing page price: one template, copy, form, tracking |
| LinkedIn ads management, small agency | $1,500 to $5,000 a month | Published US price band (market figure, not a Progression rate card) |
| Email sequence of five messages, agency | $1,500 to $5,000 | Published US price band (market figure, not a Progression rate card) |
| Marketing automation retainer | $1,500 to $8,000 a month | Published US price band (market figure, not a Progression rate card) |
| Event coverage video, per event day | $2,500 to $8,000 | Published US price band (market figure, not a Progression rate card) |
| Event marketing, per event | $5,000 to $60,000 | Published US price band, excluding venue and catering (market figure, not a Progression rate card) |
Platform licenses, paid media spend, caption services and speaker fees are paid on top. The full set of published bands is on our marketing agency pricing page, and filmed production costs are on our video production cost page.
Retainer, per-program or production only
A retainer suits a monthly series with steady promotion and repurposing. Per-program pricing suits a quarterly flagship. Production only suits teams that already promote well and need help with the live hour.
What moves the price
Number of sessions, speakers and partners, paid media management, custom registration pages, live captions, studio days, the depth of CRM integration and how much repurposing you want.
How to choose a webinar marketing company
Choose an agency that talks about your target accounts and pipeline before it talks about registrations, that works in your platform and CRM, and that shows you a dated calendar on the first call.
| Requirement | How to check it |
|---|---|
| Starts from target accounts | Ask how they agree the account list with sales |
| Promotion and production under one plan | Ask who owns the calendar and who runs the live hour |
| Platform-agnostic | Ask which platforms they have run sessions on recently |
| CRM integration | Ask how attendance and engagement reach the contact record |
| Consent handled properly | Ask to see their registration consent wording |
| Accessibility | Ask how they caption live and recorded sessions |
| Reports to pipeline | Ask for a sample report that goes past registrations |
| No guaranteed numbers | A promise of a set attendance or pipeline figure is a warning sign |
Questions to ask a webinar production agency
Who is the producer on the day? What happens if a speaker’s connection drops? How soon after the session is the recording ready? Who writes the captions and checks them?
Webinar marketing companies versus event agencies
Event agencies are built around venues, logistics and big dates. A webinar agency is built around a monthly rhythm, digital promotion and CRM data. Some companies need both; few need the event agency for a webinar series.
Outsourced webinar marketing or in-house
In-house teams keep context and relationships. Outsourcing makes sense when sessions are frequent enough to need a production line but not frequent enough to staff one. Many teams keep strategy in-house and outsource operations.
Need production help for a live session next month?Share the date, the speakers and the platform. You get a free proposal covering rehearsal, run of show, captions and recording, with a same-business-day reply.
Webinar programs by type of company
The mechanics stay the same; the topics, speakers and review steps change with the market.
Software and SaaS
Product education, customer stories and workshops on the problem the product solves. Our B2B SaaS marketing agency page covers the wider program.
Professional services
Partners explaining a regulation, a market shift or a method, with practical takeaways. Credibility comes from the speaker, so the speaker brief matters most.
Financial services
Market outlooks and planning sessions, with principal review of scripts and slides built into the calendar.
Healthcare and life sciences
Clinical education separated from promotion, with medical and legal review and accessibility handled from the start.
Associations and nonprofits
Member education series and sponsor sessions, with sponsor relationships disclosed and recordings available to members on demand.
How Progression runs a webinar program
We agree the target accounts and the result you want, then build the calendar, page, promotion, production and follow-up around them. After each session you get a short report and a list of what we would change.
What we need from you
Your target account list or ideal customer profile, two or three topic ideas, speaker availability, access to the webinar platform, the CRM and the email tool, and any compliance review steps.
The first program
Five to six weeks from kickoff: one week for strategy, speakers and the page, four weeks of promotion with rehearsal in the last, the live session, then a week of follow-up and repurposing.
Working across time zones and countries
We run programs for clients across all 50 states and worldwide, scheduling sessions for the main audience’s time zone, recruiting regional speakers and applying the consent rules of each country you promote to.
