SaaS lead generation is the work of finding the companies most likely to buy a software product, earning the attention of the people inside them, and handing sales a steady flow of qualified trials, demo requests and sales-accepted leads. It is for founders, heads of growth and sales leaders at B2B software companies from seed to growth stage, and it produces pipeline that sales agrees is worth working, measured in the CRM. Progression Agency is based in New York City and works with clients across the United States and worldwide.

The short answerLead generation for SaaS combines the channels that reach a defined set of accounts (search, paid search and social, outbound email and LinkedIn, review sites, partners and product sign-ups) with the qualification work that decides which of those people sales should call. Success is counted in sales-accepted leads, opportunities and win rate by source, never in raw form fills. Paid and outbound channels usually show first qualified leads within four to eight weeks of launch, while search and content build over three to six months. We set the definitions, scoring and routing first, so every channel is judged on the same numbers.
Email, platform and privacy rules are described as published by the FTC, Google, LinkedIn and the GDPR text in October 2026 and can change; we build campaigns inside them and do not give legal advice. Progression’s own prices are its published SEO retainers, one-off project prices and fixed-scope website prices; the other ranges are published US price bands (market figures, not a Progression rate card). A quote follows a written scope.
What is SaaS lead generation?
It is the part of SaaS growth that turns attention into named people sales can talk to: a demo request, a trial or freemium user who reached value, or a reply to an outbound message from the right account. The output is not a list. It is a record in the CRM with a source, a fit score and an owner.
What counts as a lead for a software company?
A lead is someone who has given you a reason to follow up and fits the profile of a buyer. A newsletter subscriber from a student email address is a contact; a team lead at a 200-person company who booked a demo is a lead. Defining that difference in writing is the first piece of work we do, because every report afterward depends on it.
Who this page is for
Founders selling the first few hundred accounts, heads of growth who own a pipeline number, and sales leaders who are tired of leads that never answer. If you are still choosing a go-to-market motion or a whole marketing plan, our B2B SaaS marketing team starts there; this page is the lead generation slice of that work.
| Stage | What it means | Who decides | Typical signal |
|---|---|---|---|
| Lead | A named contact with a reason to follow up | Marketing, by rule | Form, trial sign-up or reply |
| Marketing qualified lead (MQL) | Fits the profile and showed buying interest | Marketing, by score | Pricing page visit, demo form, webinar attendance |
| Product qualified lead (PQL) | Reached a usage milestone that predicts purchase | Product data, by rule | Invited teammates, connected an integration, hit a plan limit |
| Sales accepted lead (SAL) | Sales agrees the lead is worth working | Sales, within an agreed window | Accepted in the CRM with an owner |
| Sales qualified lead (SQL) | Need, authority and timing confirmed in conversation | Sales | Discovery call completed |
| Opportunity | A deal with a value and an expected close date | Sales | Opportunity created in the CRM |
SaaS lead gen in one sentence
SaaS lead gen is pipeline creation with a product attached: the channels bring people in, and the product, the website and the sales team decide together whether they become customers.
How is lead generation for SaaS different from other B2B lead generation?
Three things change the job: the product can generate leads by itself through trials and free plans, buyers research for weeks before talking to anyone, and contract value decides which channels you can afford. A plan copied from a services business usually misses all three, so B2B lead generation for SaaS has to plan for each of them.
The product is a lead source
In a trial or freemium motion, people sign up without talking to sales. Some of them become the best leads you will ever get, because they have already used the product. Lead generation for SaaS companies has to read that product data, which a lead generation plan for a law firm or a manufacturer never needs.
Buyers arrive half decided
Software buyers compare vendors on review sites, in communities and in AI assistants before they fill in a form. By the time a demo request arrives, the shortlist often exists. That is why the pages and reviews a buyer finds early matter as much as the form at the end.
Contract value sets the channel mix
A product sold at a few hundred dollars a year cannot pay for a sales call per lead; it needs self-serve sign-ups and low-cost channels. A product sold at fifty thousand dollars a year can justify outbound, events and account-based programs. We size channels to the average contract value before we size them to the budget.
Buying committees, not single buyers
B2B SaaS leads usually involve a user, a manager, an IT or security reviewer and someone who signs. Lead generation that reaches only one of them creates a lead that stalls. We plan content and outreach for each role on the account.
What is the difference between lead generation and SaaS demand generation?
SaaS demand generation creates awareness and preference among buyers who are not yet looking; lead generation captures and qualifies the ones who are. Most software companies need both, in a ratio that depends on whether the category already has search demand.
| Question | Lead generation | Demand generation |
|---|---|---|
| Main job | Turn interest into named, qualified people | Make the right accounts aware of the problem and the product |
| Typical assets | Demo and trial pages, forms, outbound sequences, lead scoring | Thought leadership, video, podcasts, ungated guides, paid social reach |
| Time to show results | Weeks for paid and outbound | Quarters, measured in branded search and inbound mix |
| Main metric | Sales-accepted leads and opportunities | Share of pipeline from engaged accounts, branded demand |
| When to lead with it | The category is known and buyers already search for it | The category is new or crowded and buyers do not know you |
What SaaS demand gen adds to lead generation
SaaS demand gen fills the top of the funnel with people who recognize your name, which lowers the cost of every lead captured later. Run alone, lead generation keeps buying the same small pool of in-market buyers at rising prices.
B2B SaaS demand generation in practice
For a B2B software company, demand work is usually a few things done consistently: founder and expert content on LinkedIn, useful guides that are not gated, short product videos, podcast and event appearances, and paid reach to the target account list. Our demand generation team runs that program; this page covers the capture and qualification side.
Free trial, freemium or demo-led: what a lead means in each motion
The motion changes the definition of a good lead. In a demo-led motion the lead is a demo request from a fitting account; in a trial motion it is a trial user who reaches value; in freemium it is a free account that shows signs of a team purchase.
| Motion | What a qualified lead is | What we generate | When sales steps in |
|---|---|---|---|
| Demo-led (sales-led) | A demo request from an account in the ideal customer profile | Demo requests, outbound replies, event meetings | Immediately, inside the speed-to-lead window |
| Free trial | A trial user from a fitting company who completes the key setup steps | Trial sign-ups from the right companies | When the user hits a product milestone or asks for help |
| Freemium | A free account with several active users or usage near a plan limit | Sign-ups plus signals of team adoption | When usage suggests a team or company purchase |
| Hybrid | Either a demo request or a product-qualified account | Both, with one scoring model | On whichever signal fires first |
Demo-led SaaS
Most of the work sits before the form: getting the right accounts to the site, making the demo page clear, and routing requests fast. A demo booked on the calendar beats a callback request every time.
Trial and freemium SaaS
The work moves inside the product. We agree with product and sales on the actions that predict purchase, track them, and turn them into product qualified leads. Choosing the motion itself is a wider decision covered on our SaaS go-to-market page.
Lead generation for B2B SaaS with a sales assist
Many product-led companies add sales for larger accounts. The lead then is a company, not a user: several sign-ups from one domain, a security review request, or a usage spike. Account-level scoring catches those early.
Which channels bring B2B software leads, and what each one is good for
B2B SaaS lead gen rarely rests on one channel. We pick two or three that fit the buyer and the contract value, run them properly, and add more only when the first ones are producing sales-accepted leads.
| Channel | Best for | Time to first qualified leads | What we measure |
|---|---|---|---|
| Organic search and content | Categories buyers already search for | Three to six months | Demo and trial conversions from organic pages |
| Paid search | High-intent queries, competitor and category terms | Two to four weeks | Cost per sales-accepted lead |
| LinkedIn and paid social | Reaching specific roles at listed accounts | Four to six weeks | Accounts engaged, leads accepted by sales |
| Outbound email and LinkedIn | Defined account lists with a clear trigger | Four to eight weeks | Positive replies, meetings held |
| Review sites | Buyers comparing a shortlist | Weeks to months, depending on review volume | Profile traffic and demo requests |
| Partners and integrations | Products that connect to tools buyers already use | Months | Partner-sourced opportunities |
| Product sign-ups | Trial and freemium motions | Immediately after tracking is live | Product qualified leads and conversion to paid |
Search and content
Pages that answer what a buyer types, from the problem to comparison and pricing questions, bring leads that keep coming after the budget pauses. Our SaaS SEO team owns rankings and our SaaS content team writes the pages; here we connect those pages to forms, scoring and routing.
Paid search and paid social
Paid channels buy intent on demand. Search catches people looking for the category; LinkedIn reaches roles at named accounts. Campaign build and bidding sit with our SaaS paid media team and LinkedIn ads managers. LinkedIn’s Lead Gen Forms arrive pre-filled with profile details such as name, job title and company, which raises volume, so we score those leads as strictly as any other.
Review sites and comparison pages
Shortlists form on review sites. A complete profile, recent reviews and honest comparison pages on your own site help buyers who are already choosing. G2 sells buyer intent data on buyers who are active on G2, which we can feed into outbound timing.
Partners and integrations
Buyers of the tools you integrate with are pre-qualified. Integration pages, marketplace listings and co-marketing with partners reach them at low cost, and partner-sourced leads tend to arrive with a use case already in mind.
The website that has to convert all of it
Every channel ends on a page. A demo page with a short form, a clear trial path and a pricing page that answers the obvious questions converts more of the same traffic. Larger redesigns go to our SaaS website design team; we build and test the landing pages each campaign needs.
Plenty of sign-ups, too few sales conversations?Send the trial or freemium numbers and the definition sales uses for a good account. A free proposal follows with the qualification and routing changes we would make first.
Inbound or outbound: which brings better leads for B2B software?
Both, and the balance depends on contract value and category maturity. Inbound fits products buyers already search for; outbound fits higher-value products sold to a list of accounts that can be named in advance. Most growth-stage companies run both, with one shared definition of a qualified lead.
SaaS inbound lead generation
Inbound starts with pages, offers and ads that bring people to you: search content, comparison pages, free tools, webinars and paid search. It is cheaper per lead over time, but it is slow to start and limited to the demand that already exists.
SaaS outbound lead generation
Outbound starts with a list: accounts that fit, the people inside them and a reason to reach out now. It can be scaled up within weeks and it reaches buyers who have never searched for you, but it depends on data quality, sender reputation and messages that earn a reply.
How we split the budget
We start from the pipeline target, work back to the number of sales-accepted leads needed, and fund the channels with the shortest path to those leads first. As search pages mature, the paid and outbound share usually falls.
An outbound lead generation service for B2B SaaS
For software, outbound works best when it is triggered by a signal: a hire, a funding round, a tool the account just adopted, or a trial that stalled. We build those lists, write the sequences and book meetings, inside the rules of every inbox and network we use. Cold outreach mechanics in depth are on our outbound program page.
Signal-based lists for software buyers
We combine firmographic fit (size, industry, region) with technographic data on the tools an account runs and with timing signals. A list of companies that just hired a revenue operations lead and use a CRM you integrate with will out-reply a generic list of the same size.
Warm outbound to trial users and past evaluations
Trial users who stopped before setup, demo no-shows and closed-lost deals from a year ago are some of the best outbound targets a SaaS company has. They know the product, and a short, specific message about what changed often reopens the conversation.
Email rules a software sender must meet
Under the FTC’s CAN-SPAM compliance guide, the law makes no exception for business-to-business email: every message needs accurate header information, a valid physical postal address and a clear opt-out that is honored within 10 business days. Google’s email sender guidelines add that senders of 5,000 or more messages a day to Gmail accounts must set up SPF, DKIM and DMARC and keep the spam rate reported in Postmaster Tools below 0.3%. We send from separate, warmed domains so outreach never puts your product emails at risk.
LinkedIn without breaking the user agreement
LinkedIn’s User Agreement prohibits bots and other unauthorized automated methods to add or download contacts or send messages, and it prohibits sharing an account. We run LinkedIn outreach by hand from the profiles of the people who will take the call, with content that gives them a reason to accept the connection.
Prospects in Europe
When a list includes people in the European Union, the GDPR gives them a right to object to direct marketing at any time, and Article 21 says their data must no longer be processed for that purpose once they do. We keep a suppression list that every sequence checks, and the legal basis for each region is your counsel’s call. Our cold email team handles the sending infrastructure.
ICP and intent data: which B2B SaaS leads are worth a call
An ideal customer profile names the companies and roles that buy, keep and expand. Intent data adds timing. Together they decide which B2B SaaS leads go to a rep today and which go into nurture.
| Signal type | Examples | Where it comes from | How we use it |
|---|---|---|---|
| Firmographic fit | Company size, industry, region, funding stage | Enrichment data and the form | Gate for any outreach |
| Technographic fit | CRM, data warehouse or tools you integrate with | Enrichment and technology lookup tools | List building and personalization |
| Role fit | Title, seniority, department | Form fields, LinkedIn, enrichment | Routing to the right rep |
| First-party intent | Pricing, comparison and security pages viewed; repeat visits | Your website analytics and marketing automation | Behavior score |
| Third-party intent | Category research on review sites or publisher networks | Intent data vendors | Outbound timing and ad audiences |
| Product signals | Teammates invited, integration connected, plan limit reached | Product analytics | Product qualified lead rules |
Writing the ideal customer profile
We build it from your best customers, not your wish list: the companies with the shortest sales cycles, the highest retention and the most expansion. Then we check the profile against closed-lost deals to see where it was too loose.
Intent data, used honestly
Third-party intent says an account is researching a topic, not that it wants your product. We use it to decide when to reach out and which ads to show, never as proof of a qualified lead. Our guide to B2B intent data providers compares the main vendors.
Enrichment that keeps forms short
Each extra form field costs conversions. Enrichment tools fill in company size, industry and technology from the email domain, so a demo form can ask for a work email and little else.
SaaS lead qualification: MQL, PQL and SQL, defined in writing
Qualification is where most lead programs for software fail. We write down what each stage means, who moves a lead between stages and how fast, and we put those rules in the CRM so nobody has to remember them.
Marketing qualified and sales qualified, as the CRM sees them
HubSpot’s default lifecycle stages run from subscriber and lead through marketing qualified lead, sales qualified lead and opportunity to customer and evangelist. It describes an MQL as a contact marketing has vetted as ready for sales, and an SQL as one sales has judged a potential customer. Other CRMs use their own stage names; the names matter less than agreeing on them.
Product qualified leads
A PQL is defined by behavior inside the product. We work with your product team to find the two or three actions that most often come before a paid upgrade, such as inviting colleagues or connecting a data source, and fire the PQL when a fitting account takes them.
B2B SaaS lead scoring: fit plus behavior
We score on two axes: fit (is this the kind of company and role that buys?) and behavior (are they acting like a buyer now?). A high-fit, low-activity lead goes to nurture or outbound; a high-fit, high-activity lead goes to a rep the same day; a low-fit lead never reaches sales, however active it is.
| Factor | Raises the score | Lowers the score |
|---|---|---|
| Company size | Inside the ideal range | Too small to pay or too large to sell to yet |
| Role | Owns the problem or the budget | Student, job seeker, competitor |
| Pages viewed | Pricing, security, comparison, integration pages | Careers and blog posts only |
| Recent actions | Demo request, trial setup completed, reply to outreach | Unsubscribed, bounced, inactive for months |
| Product usage | Teammates invited, key feature used repeatedly | Signed up and never returned |
The sales-accepted definition
Before any channel launches, sales and marketing agree on what sales will accept and how quickly it will decide. Without that, marketing reports MQLs that sales ignores and both sides argue about lead quality instead of fixing it.
Speed to lead and the hand-off to sales
Software buyers who request a demo are usually comparing vendors, and the first useful reply often wins the meeting. We set routing so that every qualified request has an owner and a first-touch deadline the moment it arrives.
Routing rules
Leads route by territory, account owner, company size or product line, and existing customers go to their account manager rather than a new rep. A scheduling link on the thank-you page lets high-fit requests book a time straight away.
A written service level agreement
Marketing commits to a number of sales-accepted leads; sales commits to a first touch inside an agreed window and a decision on every lead. Both numbers sit on the same dashboard every week.
Reason codes for rejected leads
When sales rejects a lead, it picks a reason: wrong company size, wrong role, no budget, already a customer. Those codes tell us which channel or which form is producing the wrong people, and we fix that channel instead of arguing about it.
SaaS lead nurturing for people who are not ready yet
Most fitting leads are not ready to buy this month. Nurturing keeps them warm with useful material until a signal says the time is right, then hands them back to sales.
Trial nurture
Trial emails follow what the user has and has not done: a nudge to the setup step they skipped, a short video on the feature that matches their role, and an offer of help before the trial ends.
Demo no-shows and stalled deals
A no-show gets a rebooking link the same day and a short follow-up sequence. Stalled opportunities get content for the person who is blocking, often a security reviewer or a finance lead.
Recycling instead of discarding
Leads that sales returns with a timing reason go back into nurture with a date, not into a dead list. Lifecycle email and automation are built by our B2B email team and marketing automation specialists.
Sales asking marketing for more demos every quarter?Tell us the ideal customer, the contract value and the current lead sources. We reply with a free proposal and a channel plan sized to the pipeline target.
How do we measure pipeline from SaaS leads?
We report sales-accepted leads, opportunities, pipeline value and win rate by source, all read from the CRM. Ad platform numbers are useful for daily optimization; they are not the scoreboard.
| Metric | How it is calculated | What it tells you |
|---|---|---|
| Cost per qualified lead | Channel spend and fees divided by sales-accepted leads | Whether a channel is affordable |
| Lead-to-opportunity rate | Opportunities created divided by sales-accepted leads | Whether the leads are real |
| Speed to lead | Time from request to first human touch | Whether sales is working the leads it gets |
| Pipeline sourced | Opportunity value by the lead’s first source | Which channel starts deals |
| Win rate by source | Closed-won divided by opportunities, per source | Which channel finishes deals |
| CAC payback | Acquisition cost divided by monthly gross margin from the new customer | How long the money takes to come back |
Sending CRM outcomes back to the ad platforms
Google Ads lets you store the click ID with each lead and send it back when the lead converts offline, through offline conversion imports. Enhanced conversions for leads uses hashed details such as the email address from the form to match later sales to the ad that started them. Both let bidding chase opportunities instead of form fills. Our analytics team sets this up.
Why payback matters more than cost per lead
A channel with expensive leads can still be the best one if those leads close larger deals faster. We report payback by channel where the data allows, and the full model sits on our B2B SaaS marketing page.
Lead generation tools for software companies: what you need and what you can skip
A small stack used well beats a large one used badly. Most SaaS companies need a CRM, an enrichment source, a sequencing tool for outbound, a scheduling link and analytics. Intent data and conversation intelligence come later.
| Job | Common tools | When you need it |
|---|---|---|
| CRM, the record of truth | HubSpot, Salesforce, Pipedrive | From the first lead |
| Enrichment and contact data | Apollo, ZoomInfo, Clay | As soon as forms get short or outbound starts |
| Sequencing for outbound | Outreach, Salesloft, Apollo | When more than one person sends outbound |
| Meeting scheduling and routing | Chili Piper, Calendly, HubSpot Meetings | When demo requests arrive daily |
| Product analytics for PQLs | Amplitude, Mixpanel, PostHog | Trial and freemium motions |
| Intent data | G2 Buyer Intent, Bombora | When the account list is defined and sales can act on timing |
Who owns the stack?
You do. Accounts, domains, lists and the CRM stay in your name, and we work inside them. If you need a CRM chosen or rebuilt, our CRM consultants and Salesforce developers take that on as a separate scope.
Lead generation SaaS tools are not a strategy
Every vendor in the table can produce more leads. None of them can decide which leads sales should call. That decision is the scoring and routing work above, and it is where we spend the first month.
Which strategies work at each stage of a software company?
The right strategy depends on what you already have: a founder who can sell, a sales team that needs volume, or a product with thousands of free users. These SaaS lead generation strategies are the ones we start with at each stage.
| Stage | What usually works first | What to hold back on |
|---|---|---|
| Founder-led sales | Founder outreach to a tight list, a sharp demo page, a few comparison and problem pages | Large paid budgets before the message is proven |
| First sales hires | Signal-based outbound, high-intent paid search, written lead definitions and routing | Many channels at once |
| Scaling a sales team | Account-based programs, LinkedIn to listed accounts, review-site presence, nurture | Gated content measured by downloads |
| Product-led growth | PQL scoring, sales assist on team accounts, in-product upgrade paths | Calling every sign-up |
Lead generation for early-stage startups
Before a repeatable sales motion exists, the founder is the best lead generation channel. We help with the list, the message and the follow-up, and hold off on retainers that spread a small budget across channels none of which can reach useful volume.
Practices we hold to on every account
One written definition of a qualified lead. Source tracking on every record. Sales feedback every week. One or two channels done properly before a third. And reporting in pipeline, not in leads.
Examples by motion
A demo-led data product might pair paid search on category terms with outbound to companies hiring data engineers. A freemium collaboration tool might score workspaces by active users and route large teams to sales. A vertical SaaS product might lead with partner co-marketing and industry review sites.
How AI assistants choose software vendors and lead generation partners
Buyers now ask ChatGPT, Claude, Perplexity, Gemini, Microsoft Copilot and Google AI Overviews which tools to shortlist and which providers to hire. The answers draw on pages that state facts plainly, comparison tables, review profiles and consistent descriptions across the web.
How software buyers ask
Questions look like “best tool for a revenue team of 20 that uses HubSpot”, “alternatives to a named competitor”, or “which SaaS lead generation companies work with seed-stage startups”. They are specific, and the assistants reward pages that answer that specificity.
What the assistants tend to cite
Vendor pages with clear pricing and integration lists, honest comparison pages, review-site profiles, documentation and articles that define terms. Vague homepages and gated PDFs give them little to quote.
What to publish so your product gets named
Pricing or at least the shape of pricing, one page per integration and use case, comparison pages that admit where a competitor is the better fit, and a steady flow of reviews. Our AI visibility work for software companies covers structured data and crawler access.
How do you choose a lead generation partner for a SaaS company?
Ask how the provider defines a qualified lead, who owns the data and domains, and how results are reported. A good SaaS lead generation company answers in terms of sales-accepted leads and opportunities, and is comfortable being measured in your CRM. The same questions apply to a specialist provider and to a wider marketing firm.
| Requirement | How to check it |
|---|---|
| Defines a qualified lead with your sales team before launch | Ask for a sample lead definition and service level agreement |
| Reports in your CRM, by source | Ask to see a dashboard built on opportunities, not form fills |
| Leads are exclusive to you | Ask whether any lead or list is resold or shared with other clients |
| You own accounts, domains and data | Check the contract for ownership of sending domains, lists and ad accounts |
| Understands your sales motion | Ask what changes for trial, freemium and demo-led products |
| Follows inbox and platform rules | Ask how they handle SPF, DKIM, DMARC, opt-outs and LinkedIn automation |
| Has a plan for the first 90 days | Ask what will be live in week four and what you will see in week twelve |
Red flags
Shared or resold leads. Guarantees of a number of meetings before they have seen your product. MQL targets with no sales-accepted definition. Sending from your main domain. Automation on your reps’ LinkedIn accounts. Reports that stop at clicks and form fills.
Questions that separate strong providers from weak ones
What did you stop doing for a client because it did not produce pipeline? How do you handle a lead sales rejects? Which of our competitors’ customers would you target first, and why? The answers show whether the provider thinks in pipeline or in volume.
Agency, freelancers or in-house
A SaaS lead gen agency gives you several skills at once while you prove which channels work; an in-house team makes sense once one or two channels are proven and steady. Our guide to outsourcing lead generation compares the costs of each.
What does lead generation for a software company cost?
Published US price bands put B2B lead generation services at $3,000 to $12,000 a month, with media and data separate (market figures, not a Progression rate card). Progression’s own published prices cover the SEO, tracking and landing page parts of the work, and a quote follows a written scope.
| Item | Price | Notes |
|---|---|---|
| B2B lead generation services, multi-channel | $3,000 to $12,000 a month | Published US price band (market figure); media and data separate |
| Outbound program with data and tooling | $4,000 to $12,000 a month | Published US price band (market figure) |
| LinkedIn ads management | $1,500 to $5,000 a month | Published US price band (market figure); media on top |
| Google Ads and Microsoft Ads management | $1,000 to $5,000 a month | Published US price band (market figure); media on top |
| Progression SEO retainer | $1,500 to $2,500, $2,500 to $5,000, $5,000 to $10,000 or $10,000+ a month | Progression’s published retainers |
| Progression analytics and conversion tracking implementation | From $2,400 | One-off project |
| Progression keyword research and mapping | From $1,200 | One-off project |
| Progression single landing page | From $1,400 | Fixed scope: one template, copy, form, tracking |
Cost by pricing model
Retainers pay for the work regardless of volume and suit programs that combine several channels. Pay-per-lead and pay-per-meeting pricing moves risk to the provider but rewards volume over fit unless the definition of a qualified lead is tight. Hybrid deals, a smaller retainer plus a fee per sales-accepted lead or meeting held, are common for outbound.
What pushes the price up or down
The number of channels and segments, list size, data costs, how much content and creative is needed, and whether the CRM and tracking need rebuilding first. Media spend is always separate and paid to the platforms directly. We do not take SEO work below about $1,500 a month.
Replacing a lead vendor that sent volume, not buyers?Share last quarter’s leads and what happened to them in the CRM. You get a free proposal built around sales-accepted leads, not form fills.
How the program runs with us, week by week
We start with definitions and tracking, launch the fastest channels next, and review pipeline by source every month. The first 90 days look like this.
| Phase | What happens | What you see |
|---|---|---|
| Weeks 1 to 2 | ICP workshop, CRM and tracking audit, review of past leads and lost deals | Written ICP and a list of tracking gaps |
| Weeks 3 to 4 | Lead definitions, scoring, routing, first landing pages and sequences | Signed-off definitions and a service level agreement |
| Weeks 5 to 8 | Paid campaigns and outbound live, daily lead review with sales | First sales-accepted leads and reason codes |
| Weeks 9 to 10 | Nurture tracks for trials, no-shows and returned leads | Recycled leads and early opportunity counts |
| Weeks 11 to 13 | First pipeline review, budget shifted toward the best sources | Pipeline and cost per qualified lead by source |
| Month 4 onward | Search pages, review-site work and new segments added | Monthly report on pipeline, win rate and payback |
What we deliver each month
A pipeline report by source, the campaigns and sequences running, the landing pages tested, the scoring changes made, the reason codes from sales and the plan for next month. One meeting a month with sales in the room.
