Email marketing for hotels is the set of emails a property sends to people who booked, stayed or asked to hear from it: the reservation confirmation, pre-arrival and welcome messages, post-stay thanks and review requests, win-back offers and a guest newsletter. This guide is for owners, general managers, revenue managers and marketing directors at hotels, inns and resorts, and it shows how to turn past guests into direct, repeat bookings. Progression Agency is based in New York City and works with clients across the United States and worldwide.

The short answerHotel email marketing works best as a lifecycle, not a blast: a fast confirmation, a useful pre-arrival email with optional add-ons, a post-stay thank-you with a review link, and win-back and seasonal offers that bring guests back to your own booking engine. Build the list from direct bookings and consent, never a bought list, and keep marketing and transactional messages separate. Measure it by direct bookings, room nights and repeat-guest rate rather than opens. A first set of automated emails can be live in four to eight weeks; we quote each program after a written scope.
Rules come from the FTC, the regulation texts and the UK regulator, and platform behavior from Google’s and Apple’s own help pages, as read in October 2026. This is a plain summary, not legal advice. Prices are Progression’s published prices; the email program itself is quoted after a written scope.
What is hotel email marketing, and what does it do for a property?
It is every planned email from your property to guests and past guests, from transactional confirmations to marketing offers. Its job is to make the stay smoother, lift spend before arrival and win the next booking without paying an OTA commission.
Why email marketing for hotels still pays
In email marketing for hotels, a guest who has stayed with you already trusts the property, so the next booking costs far less to win than a stranger’s. Email is the channel you own: no auction, no commission and no algorithm between you and the guest.
How it fits with the rest of your hotel marketing
Search, paid ads and social bring new guests; email keeps them. Our hotel marketing agency page covers the full plan and its email, loyalty and repeat-guest section points here for the detail. Search and paid sit on our hotel SEO and hotel PPC pages.
Hospitality email marketing beyond the room
Hospitality email marketing also covers dining, spa, weddings, meetings and events. Each has its own list and timing, but the same rules on consent, segmentation and measurement apply.
The guest email lifecycle: eleven emails a hotel can send
Email marketing for hotels starts with the four that matter most for any property: confirmation, pre-arrival, post-stay and win-back. Add the rest as your systems and team allow.
| Type | When to send | Main job | Key content | |
|---|---|---|---|---|
| Reservation confirmation | Transactional | Within minutes of booking | Reassure and inform | Dates, room, rate, total, policies, contact |
| Pre-arrival | Transactional with optional offers | Three to seven days before arrival | Prepare and upsell | Check-in, parking, directions, add-ons |
| Arrival day welcome | Transactional | Morning of arrival or at check-in | Help on arrival | Wi-Fi, hours, amenities, contact |
| In-stay check | Service | Mid-stay for longer visits | Fix issues early | A quick question and a direct reply path |
| Post-stay thanks | Relationship | One to two days after checkout | Feedback and reviews | Thanks, survey, review link |
| OTA-to-direct nurture | Marketing, with consent | Weeks after a stay booked through an OTA | Next booking direct | Direct-booking benefits, your booking link |
| Win-back | Marketing | Around the stay anniversary or 12 to 18 months later | Bring lapsed guests back | A reason to return, a direct offer |
| Seasonal and low-season offer | Marketing | Ahead of each season | Fill soft dates | Packages, events, dates that suit |
| Event and wedding follow-up | Marketing | After an inquiry or an event | Convert and rebook | Menus, dates, availability, contact |
| Loyalty or member rate | Marketing | On sign-up and before key dates | Reward repeat guests | Member benefits, how to book |
| Newsletter | Marketing | Monthly or each season | Stay remembered | News, events, local guide, one offer |
Which emails should a hotel automate first?
Automate the confirmation, pre-arrival and post-stay emails first because they run on every booking and need no weekly effort. Win-back and OTA-to-direct flows come next. The newsletter is the one email that needs fresh writing each time.
The hotel reservation confirmation email
The hotel reservation confirmation email is the most opened message you send, so it must be accurate, fast and easy to scan. Keep marketing in it light or leave it out.
| Block | What it contains | Why it matters |
|---|---|---|
| Subject line | Property name, “booking confirmed”, the dates | Easy to find again in the inbox |
| Booking summary | Confirmation number, dates, room type, guests, rate and total | Answers the first question at a glance |
| Policies | Cancellation terms, deposit, check-in and checkout times | Fewer calls and disputes |
| Getting here | Address, map link, parking | Smoother arrival |
| Manage booking | A link to change or cancel and a phone number | Self-service saves front-desk time |
| Optional extras | One short line on add-ons, if any | Revenue without crowding the message |
| Footer | Property address, contact details, privacy link | Trust and compliance |
Hotel booking confirmation email example, in words
Subject: your stay at the property is confirmed for the dates booked. Opening line: thanks and the confirmation number. Then the summary box, the policies in plain language, a map link and one button to manage the booking. Nothing else competes with them.
Keep transactional and marketing messages apart
Under the CAN-SPAM Act a message is judged by its primary purpose, and the FTC notes that a message whose primary purpose is transactional or relationship is exempt from most provisions but must still avoid false or misleading routing information. A confirmation that turns into a sales flyer can be treated as commercial, so keep offers short.
Hotel pre arrival email: prepare the guest and lift spend
A pre-arrival email tells the guest what to expect and gives them a chance to add the extras they would have bought anyway. Send it three to seven days before arrival, earlier for resorts and long stays.
What is pre-arrival in a hotel?
Pre-arrival is the window between booking and check-in when the property prepares for the guest: confirming arrival time, special requests, room preferences and payment. The pre-arrival email is the guest-facing side of that work.
A hotel pre arrival email template
Greeting by name; the dates and room; check-in and checkout times; parking and directions; a short form or reply to share arrival time and requests; two or three optional add-ons such as an upgrade, early check-in, breakfast or a dining reservation; and a contact for questions. A pre arrival email for hotel guests should read like help, not a catalog.
Upsells that guests welcome
Offer what fits the stay: a room upgrade for a special occasion, late checkout for a Sunday departure, parking for drive-in guests, spa time for a weekend away. Show the price clearly and let the guest add it with one click.
The hotel welcome email and in-stay messages
A hotel welcome email on arrival day answers the questions guests would otherwise phone the front desk about. Keep it short and practical.
What a hotel welcome email should include
Wi-Fi details or how to get them, breakfast and dining hours, pool or spa times, how to reach the front desk, and one local tip. If the guest booked a package, remind them what is included.
In-stay check-ins for longer visits
For stays of three nights or more, a brief mid-stay message asking whether everything is right lets staff fix a problem before it becomes a review. Route replies to a person, not a no-reply address.
Hotel post stay email template: thanks, feedback and reviews
The post-stay email thanks the guest, asks how the stay went and invites a review. Send it a day or two after checkout while the stay is fresh.
A hotel thank you email after stay
Thank the guest by name, mention the dates, ask one or two survey questions, and give a direct link to leave a review. Close with an invitation to return and, if the guest agreed to marketing, a note on how to book direct next time.
Asking for reviews within the rules
The FTC’s 2024 rule on consumer reviews bars incentives conditioned on a review expressing a particular sentiment, so offer any thank-you to every reviewer, never only to happy ones. Our review management service handles responses and monitoring across the review sites.
Route unhappy guests to a person
If the survey shows a low score, send it to the general manager the same day and reply personally. A fast, human reply often turns a bad stay into a fair review.
Hotel direct booking email and hotel win back email flows
These are the flows that pay for the program: nurturing OTA bookers toward your own booking engine and bringing lapsed guests back. Both need marketing consent.
Turning OTA guests into direct bookers
Check each OTA’s partner terms before emailing a guest who booked through it: the address you received may be a relay address, and the terms decide what you may send to it. The clean route is to ask for direct consent at check-in, on Wi-Fi sign-in or in the post-stay survey, then explain the benefits of booking direct next time.
Win-back timing
Send a win-back email around the anniversary of a stay, or when a guest has not returned in 12 to 18 months. Give a reason to come back: a new room type, a season they have not seen, an event, or a member rate on your own site.
The hotel abandoned booking email
If your booking engine captures an email before the guest finishes, a reminder with the dates and room they chose can recover the booking. Only send it where your booking engine and privacy notice allow it, and keep it to one message.
Most of your bookings still come through OTAs?Send us your booking mix and what your PMS captures today. We will map the emails that move repeat guests to your own booking engine, and the consent each one needs.
The hotel newsletter: ideas, examples and a template
A hotel newsletter keeps past guests thinking of you between stays. Send it monthly or each season, to the segments that care, with one clear offer.
| Season or moment | Newsletter idea | Offer or call to action |
|---|---|---|
| Winter | Holiday events, cozy packages, a winter local guide | Book a weekend package direct |
| Spring | Garden or terrace reopening, spring festivals nearby | Midweek rate for spring dates |
| Summer | Pool, family-friendly activities, long-weekend ideas | Book early for peak dates |
| Autumn | Foliage, harvest dinners, local events | Shoulder-season package |
| Anniversary of opening | The story of the property, staff who have been there longest | Member rate for past guests |
| New feature | Renovated rooms, a new restaurant or spa | First-look stay offer |
Hotel newsletter examples worth copying
Good hotel newsletter examples share a pattern: one strong photo, a short story about the property or the area, two or three items of news, one offer with a booking link and a short footer. Our email marketing examples page shows the general types; here the content comes from your season and your guests.
A hotel newsletter template
Header with the property name; a hero image; a two-sentence lead story; a section of events or news; a local guide item; one offer with dates and a button; and the footer with your address, unsubscribe link and preference settings. A hospitality newsletter for a resort may add dining and spa sections.
How often should a hotel send a newsletter?
Monthly suits most independent properties; seasonal suits small inns and properties with few repeat guests. Send more often only when you have real news, and watch unsubscribes after each send.
Hotel email marketing examples and campaigns by goal
Hotel email marketing campaigns work best when each has one goal, one audience and one booking link. These examples cover the goals properties ask about most.
| Goal | Audience | Sample subject line | Offer |
|---|---|---|---|
| Fill a soft midweek | Past leisure guests within driving distance | Your midweek escape, two nights | Midweek package |
| Sell a holiday package | Guests who stayed in the same season | Back for the holidays? | Package with dining |
| Win back lapsed guests | No stay in 12 to 18 months | It has been a while; here is what is new | Direct member rate |
| Promote an event | Local and regional subscribers | Dinner on the terrace, one night only | Event tickets with a stay |
| Sell weddings | Recent wedding inquiries | Dates still open next season | Site visit |
| Business travel | Corporate bookers and frequent guests | Your rate for next quarter | Negotiated rate reminder |
Hotel email subject lines that get read
Be specific and honest: the property name, the dates or the season, and what is in it for the guest. CAN-SPAM requires subject lines that do not mislead, and vague hype tends to be ignored anyway.
Hotel promotion email sample structure
One headline, one photo, two sentences on why now, the dates and price, what is included, one button to book direct and the terms in plain text below. Hospitality email templates should be simple enough to edit in minutes.
Boutique hotel email marketing
Boutique and independent properties win on personality. Write in the owner’s or manager’s voice, feature the people and the neighborhood, and keep sends fewer and better. Boutique hotel marketing as a whole is covered on our hotel marketing page.
Where should the guest email list come from? Build it, never buy it
Your list should come from people who booked with you, stayed with you or asked to hear from you. A bought hotel email list brings complaints, spam-folder placement and no bookings.
- Direct bookings through your own booking engine, with a clear marketing opt-in
- Check-in and registration, with a consent box
- Guest Wi-Fi sign-in, where the terms say what you will send
- The post-stay survey, with an option to join the newsletter
- Restaurant, spa and event bookings
- Wedding and meeting inquiries
- A sign-up form on your website with a reason to join
- Front-desk conversations, recorded in the PMS with the guest’s agreement
Hotel guest CRM and the PMS
The property management system holds stays; a hotel guest CRM joins stays with preferences, spend and consent so emails can be personal. Our CRM consultant and CRM development pages cover choosing and connecting one; this page does not compare CRM products.
Sync with the booking engine
Booking engine data tells you who started a booking, who booked direct and what they paid. Feeding it into your email tool lets you trigger pre-arrival emails and measure which campaigns produced bookings.
Segmenting guests so every email fits
Segment by why guests came, how they booked, how often they stay, when they travel, what they spend and where they live. Even four or five segments beat sending everyone the same email.
| Segment | How to identify it | What to send | Why it works |
|---|---|---|---|
| First-time guests | One stay in the PMS | Thanks, what they missed, a reason to return | Turns a visit into a habit |
| Repeat guests | Two or more stays | Recognition, a member rate, early access | Rewards loyalty directly |
| OTA bookers with consent | Booking source plus opt-in | Direct-booking benefits | Lowers commission on the next stay |
| Business travelers | Weekday stays, company rates | Rate reminders, convenience features | Fits how they book |
| Leisure and couples | Weekend stays, packages | Getaways, dining, seasonal offers | Matches the reason to travel |
| Event and wedding guests | Room block or event code | Thanks, photos, future event dates | Builds a second market |
Hotel marketing automation and hotel email marketing software
In email marketing for hotels, automation sends the right email when something happens: a booking, an arrival, a checkout, a birthday or a long gap since the last stay. The software matters less than how well it connects to your PMS and booking engine.
What is email marketing automation for a hotel?
It is a set of rules that send emails on triggers instead of by hand: a confirmation on booking, a pre-arrival email three days before arrival, a survey after checkout and a win-back after a year without a stay. It runs every day without staff time.
| Requirement | Why it matters | How to check it |
|---|---|---|
| Connects to your PMS and booking engine | Triggers and segments depend on stay data | Ask for a list of supported systems and how often data syncs |
| Separates transactional and marketing sends | Different rules and expectations apply | Ask how each type is set up and suppressed |
| Consent and preference records | You must show who agreed and honor opt-outs | Ask to see the consent fields and the unsubscribe flow |
| Domain authentication | Inbox placement depends on it | Confirm SPF, DKIM and DMARC set-up on your own domain |
| Booking and revenue reporting | Opens no longer tell you much | Ask whether bookings can be attributed to each email |
| Templates staff can edit | Seasonal changes should not need a developer | Try editing a sample template yourself |
Best email marketing software for hotels
The best tool is the one your PMS and booking engine already connect to, that your team can use, and that reports bookings. Hotel email software built for properties often ships with ready triggers; general tools need more set-up but give more freedom.
Where general automation helps
If your property also runs dining, retail or memberships, a general platform may serve all of them. Our marketing automation agency page covers broader automation work.
Is it legal for a hotel to email past guests? CAN-SPAM, GDPR and CASL in plain terms
Yes, if you follow the rules of the guest’s country. We build programs inside these rules; this is a plain summary, not legal advice, and your counsel decides how they apply to your property.
| Rule | Who it covers | What it asks of marketing email |
|---|---|---|
| CAN-SPAM Act (US) | Commercial email sent to US recipients | Honest headers and subject lines, identify ads, a physical postal address, an opt-out honored within 10 business days |
| GDPR (EU) | Personal data of people in the EU | A lawful basis; where it is consent, you must be able to show it, and withdrawing must be as easy as giving it |
| UK PECR soft opt-in | Existing customers in the UK | Allowed for similar products if a simple opt-out was offered at collection and in every message |
| CASL (Canada) | Commercial electronic messages to Canadians | Express or implied consent, sender identification and contact details, and a working unsubscribe |
CAN-SPAM for hotels in the US
The FTC’s CAN-SPAM compliance guide asks for accurate header information, honest subject lines, identification of the message as an ad, a valid physical postal address, a clear way to opt out and opt-outs honored within 10 business days. Each separate email in violation can bring penalties of up to $53,088, and you stay responsible for what an agency sends on your behalf.
EU guests and GDPR consent
Where marketing relies on consent, Article 7 of the GDPR says the controller must be able to demonstrate the guest consented and that withdrawing consent must be as easy as giving it. Record when and how each guest agreed.
UK guests and the soft opt-in
The UK regulator’s guidance on the soft opt-in allows marketing email to an existing customer who bought, or negotiated to buy, a similar product or service, provided a simple way to opt out was offered when details were collected and in every message. It does not cover new contacts, and the ICO notes the guidance is under review.
Canadian guests and CASL
Canada’s anti-spam law requires consent, express or implied, identification of the sender, contact details and an unsubscribe mechanism. Implied consent from an existing business relationship covers a purchase within the two-year period before the message, and unsubscribe requests must take effect within 10 business days.
Never put card data in email
Do not ask guests to send card numbers by email or include full payment details in any message. Use your booking engine’s secure payment link instead.
Sending a newsletter nobody books from?We will review your last six sends, your list sources and your segments, and show which emails to keep, cut or automate.
Deliverability: getting hotel email into the inbox
Authenticate your sending domain, send only to people who asked, clean the list and watch complaints. Inbox providers now enforce these basics.
| Check | What it means | What it prevents |
|---|---|---|
| SPF and DKIM | Your domain authorizes and signs your mail | Spoofing and junk-folder placement |
| DMARC | A published policy for mail that fails checks | Others sending as your hotel |
| One-click unsubscribe | A header that lets people leave in one step | Spam complaints from people who cannot find the link |
| List hygiene | Remove bounces and long-inactive addresses | Damage to your sender reputation |
| Complaint monitoring | Watch spam rates in Postmaster Tools | Being filtered across a whole provider |
What Gmail now requires
Google’s email sender guidelines ask every sender to set up SPF or DKIM and keep reported spam rates below 0.3%. Senders of more than 5,000 messages a day to Gmail accounts need SPF, DKIM and DMARC, a From domain aligned with SPF or DKIM, and one-click unsubscribe on marketing messages.
Why open rates no longer prove much
Apple says that with Mail Privacy Protection a reader’s IP address is hidden and remote content is privately downloaded in the background when a message arrives, instead of when it is viewed. Many opens are therefore recorded whether or not a guest read the email, so judge emails by clicks and bookings.
Measuring hotel email by bookings and revenue
Measure email marketing for hotels the way the owner does: direct bookings, room nights, revenue and repeat stays. Opens and clicks only tell you which emails to improve.
| Measure | What it tells you | Where to find it |
|---|---|---|
| Direct booking share | Whether more stays come through your own engine | Booking engine and PMS reports |
| Room nights attributed to email | How many nights email produced | Tagged links in analytics and the booking engine |
| Revenue per email sent | Whether a campaign was worth the send | Email tool plus booking revenue |
| Repeat-guest rate | Whether guests come back | PMS guest history |
| Add-on take rate | Whether pre-arrival offers sell | PMS or upsell tool |
| Unsubscribes and complaints | Whether frequency and content fit | Email tool and Postmaster Tools |
How do you track bookings from email?
Tag every link, pass campaign data to the booking engine, and check that analytics records completed bookings. Our marketing analytics agency page covers this work, and our conversion rate optimization page covers the booking path itself.
Email marketing for hotels with a small team: independents and boutiques
A small property does not need eleven emails on day one. Four workflows cover most of the value and run themselves once set up.
- A pre-arrival email with check-in details and two optional add-ons
- A post-stay thank-you with a survey and a review link
- A win-back email at 12 to 18 months with a direct offer
- A seasonal newsletter to guests who opted in
How to market a boutique hotel by email
Lean on what makes the property personal: the owner’s voice, the rooms, the neighborhood, the people who work there. Small lists with real stories often do better than polished campaigns. Inns and B and B properties can pair this with a strong booking site; see our bed and breakfast website design page.
Inns, resorts and properties with events
Resorts and properties with dining, spa or weddings can run separate lists for each, with one shared consent record. Our wedding venue marketing page covers the wedding side.
How guests and owners ask AI assistants about hotels and email
Travelers ask ChatGPT, Claude, Perplexity, Gemini, Microsoft Copilot and Google AI Overviews where to stay, and hotel teams ask them how to run guest email. Both kinds of answer draw on clear, specific pages.
What travelers ask
Prompts such as quiet boutique hotels near a landmark, resorts with a spa for a long weekend, or a pet-friendly inn with parking. Assistants assemble answers from hotel websites, review platforms, travel guides and booking sites.
What hotel teams ask
Questions like how often to send a hotel newsletter, what goes in a pre-arrival email, or whether OTA guests can be emailed. Pages with direct answers, templates and plain compliance notes are the ones that get quoted.
What a property should publish
Accurate room, amenity and policy pages, packages with dates and prices, an events page and consistent details across profiles. Our AI search for hotels page explains how properties get named in those answers.
In-house, software only or a hotel email marketing agency?
Run it in house if someone has a few hours a week and your systems connect. Add an agency when you want the flows built, the segments set up and results reported in bookings.
| Option | Good at | Watch for | Fits when |
|---|---|---|---|
| In-house with ready templates | Knows the guests and the property | Newsletters slip in busy season | One property, simple systems |
| Software vendor’s set-up service | Fast launch of built-in triggers | Limited strategy and copy | You want the tool’s standard flows |
| Agency managing the program | Flows, segments, copy, testing and reporting | Needs access to PMS data and quick approvals | You want direct bookings measured monthly |
What we manage each month
Flow upkeep, the newsletter and seasonal campaigns, segment updates, list hygiene, deliverability checks and a monthly report on bookings, room nights and revenue from email. Our general email marketing service page describes the program across industries.
How much does hotel email marketing cost with Progression?
Each email program is quoted after a written scope, because the systems, the number of flows and the send volume vary so much by property. Related published prices are below.
| Work | Price | Where it applies |
|---|---|---|
| Free initial audit | $0 | A first look before you commit |
| Analytics and conversion tracking implementation | From $2,400, one-off | Attributing bookings to email and other channels |
| SEO retainer, small local business | $1,500 to $2,500 a month | Hotel search visibility alongside email |
| SEO retainer, competitive local or regional | $2,500 to $5,000 a month | Properties in crowded markets |
| Hotel email program | Quoted after a written scope | Flows, newsletters, segments and reporting |
How to choose a hotel email marketing agency
For email marketing for hotels, choose the partner who asks about your PMS, booking engine and booking mix before showing designs, and who reports bookings, not opens.
| Requirement | How to check it |
|---|---|
| Knows hotel systems | Ask which PMS and booking engines they have connected |
| Builds consent in from the start | Ask how opt-ins are captured at booking and check-in |
| Separates transactional and marketing | Ask how confirmations are kept clear of promotions |
| Reports bookings and revenue | Ask for a sample monthly report |
| You own the list and the account | Confirm in writing that data stays yours |
| Authenticates your domain | Ask about SPF, DKIM and DMARC set-up |
- Ask which four emails they would build first for your property
- Ask how they would move OTA guests to direct within the OTA’s terms
- Ask how they segment repeat guests from first-time guests
- Ask what they would change after the first 90 days
- Ask who writes the copy and how they learn your property’s voice
