The short answerA hotel is rarely looked up on its own. Someone plans a trip, an itinerary is assembled against a constraint set — party shape, accessibility, parking, pets, walking distance to something specific — and properties surface as components that satisfy or fail those constraints. A constraint that cannot be checked is treated as unmet, which means missing information behaves exactly like a missing facility. Aggregators flatten all of this into filter flags, and the distinctions a flag drops are the ones that decide the booking. A property can write sentences; almost none of them do.

Trips are planned against a constraint set, and properties surface as components that satisfy or fail those constraints.

The question is almost never about a property

Somebody planning a trip asks about an area, a purpose and a set of constraints: four people including a wheelchair user, three nights, walking distance to a particular venue, arriving by car, travelling with a dog. An itinerary is assembled from that, and properties surface as components that satisfy or fail the constraints. Very few queries begin with a hotel name.

Constraints that cannot be checked are treated as absent

If a property’s material does not say whether parking exists, whether an accessible room has a roll-in shower or a bath, whether a dog of a particular size is permitted, then for a query carrying that constraint the property is simply not a candidate. Absence of information behaves like absence of the facility.

Which is why atmosphere copy underperforms

Warm, characterful, beautifully appointed, perfectly located — these appear on every property site and answer no constraint. They are not badly written; they are the wrong category of information for the question being asked.

Booking platforms express facilities as checkboxes: accessible, pet friendly, parking, family rooms. Each of those collapses a range of real distinctions into a single flag. Accessible covers everything from a ground-floor room with a wide door to a fully adapted bathroom with a ceiling hoist. Pet friendly covers everything from a small dog for a fee to two large dogs welcome everywhere except the restaurant.

The distinctions the filter drops are the ones that decide the booking

A person who needs a roll-in shower is not helped by an accessible flag, and will look for the detail. Whoever publishes that detail in words is the source of the answer. That is the property, and almost only the property.

So the advantage is that you can write sentences

An aggregator has a schema; you have a page. The specific, unusual, constraint-resolving facts are exactly the ones a schema cannot carry and a sentence can. That is the whole of the structural advantage a hotel has in this environment, and most properties do not use it.

This is where vagueness does the most harm, because somebody is making a decision with real consequences if the information is wrong.

Someone with a specific access requirement is making a decision with real consequences if the information is wrong. ‘Accessible rooms available’ tells them nothing they can act on and, worse, invites a booking that may not work.

Document the features, not the label

Door widths, whether the bathroom has a roll-in shower or a bath with a grab rail, transfer space beside the bed, threshold heights, lift dimensions, the route from the car park to reception and from reception to the room, whether that route has steps, hearing loop provision, visual alarm provision, and which specific room numbers have which features.

Say what is not available too

A property that states plainly which requirements it cannot meet is more useful and more trustworthy than one that implies it meets all of them. It also avoids the arrival that goes badly, and the review that follows.

Keep it accurate through refurbishment

Access features change when rooms are refurbished and the page rarely follows. Put it on the same checklist as the works.

Parking, pets and party shapes

Three subjects most properties give a single word to, each of which silently includes or excludes an entire booking.

Whether it is on site or nearby, how many spaces, whether it is guaranteed or first come, what it costs per night, whether it is covered, whether there is a height restriction, whether there is electric vehicle charging and of what type, and what the alternative is when it is full. Every one of those is a genuine constraint for someone, and most properties give the whole subject one word.

Pet policies are the same problem

Which sizes, how many, what the fee is and whether it is per stay or per night, which rooms, which public areas, whether pets may be left unattended, and whether there is anywhere to walk a dog nearby. ‘Pet friendly’ answers none of it.

Map room configurations to party shapes

Not room types with marketing names, but what fits in them: two adults and two children under a stated age, whether a cot is available and at what cost, whether connecting rooms exist and which ones, whether a sofa bed is a genuine adult bed, maximum occupancy per room. Families and groups are constraint-heavy bookings and this is the information they are hunting for.

The neighbourhood question, answered with times

‘Centrally located’ cannot be checked or compared; measured walking times to named places can.

Convenient to what, at what distance, by what means. A property that says it is a short walk from the centre has said nothing that can be checked or compared.

Publish real walking times to real places

The station, the main venues, the nearest supermarket, the nearest pharmacy, the nearest late-opening food, the beach or the park, the conference centre. Minutes, measured rather than estimated generously, and with any relevant detail about the route — a hill, a busy road, steps, whether it is well lit.

They write about areas; you know the specific walk from your own front door. That level of detail is genuinely yours and it answers the constraint that decides a lot of bookings.

Your own site, every OTA you are listed on, map and listing data, a chain or brand system if you belong to one, and review platforms. Each holds a version of your facilities, policies and descriptions, and they drift apart over time.

Disagreement suppresses all of them

When listings contradict each other on whether parking is free, whether pets are allowed or what an accessible room includes, the result is a vaguer answer rather than a choice between versions. Reconciliation is unglamorous and it raises the confidence of every mention.

How a hotel actually appears in an answer
A hotel that is only described in the language of a booking filter — stars, pool, breakfast — can only be selected by a filter. The constraints that actually decide a trip are more specific than that.
Where hotel answers come from
The discovery question is dominated by intermediaries. The constraint question is the one a property can own outright, and it is the one most property sites answer worst.

Site-side constraint pages show in extraction within weeks. Listing reconciliation depends on each platform’s own update process and is slower but longer-lasting.

Replacing the one-word parking and pet entries with a full paragraph each. Free, an hour of work, and both are constraints that currently exclude you from queries you would otherwise satisfy.
